Eco Logic Limited undertakes to liaise with the Client to arrange access to the property within 1 working day of acceptance of this quotation and to send the EPC assessment report to the client within 3 working days of the inspection subject to working periods. This timetable is a good faith estimate of the period required to perform the services and deliver the deliverables, and Eco Logic Limited will work diligently to perform the services in accordance with that timetable.

The EPC Assessment Report will be delivered as a PDF document via e–mail, a hard copy can be requested and will be posted via Royal Mail within 5 working days of receiving the request by email chris@Ecologicltd.co.uk . An admin fee of postage and printing will be applied at £10.00.

The Charges payable will be as is quoted on our email, unless otherwise agreed in writing or via email, which will supersede anything quoted.

Payment will be required prior to release of the reports unless agreed otherwise with Eco Logic Limited. Payment is required within 7 days of the date of the invoice and the report being ready.

At least 1 full working days’ notice must be given in the event of any cancellation in order for no cancellation fees to be incurred by the client. Should we receive cancellation under 1 full working days’ notice our full fee is applicable. For example, should a survey/assessment be scheduled for a Monday the client will need to notify Eco Logic in writing on the Thursday before to avoid a cancellation fee being applicable.

If any payment due to Eco Logic Limited is in arrears for more than 30 days, Eco Logic Limited may charge interest on a day to day basis from the original due date until the date of payment in full, at Bank of England base rate plus 8% (as at the date of the invoice).

Our service cannot be cancelled once work has taken place, or on the day of the work commencing. Should cancellation occur after, during or on the day our full fee will be applicable.

Should Eco Logic Limited postpone the original inspection for any reason, the client shall have 2 working days within which they can cancel the inspection at no cost and have their money refunded in full.

The client undertakes to ensure that the premises are free from any foreseen health and Eco concerns and the appropriate action is taken to minimise the risk to the surveyor. This may include, but is not limited to, broken glass, sharps (including needles or syringes), animals including dogs, snakes, spiders, any other animal likely to bite or cause harm to the surveyor, rat infestation, pigeon guano, dead animals, faeces and drug paraphernalia. A full charge will apply should we not be able to conduct the survey.

The client undertakes to ensure that it is possible to inspect all areas of the property.

Should the surveyor have to abort the assessment due to intimidation of any kind including, but not limited to, verbal or physical threat by the client or any other third party present on the premises, the client will be liable to a 50% cancellation charge, as well as having to pay full price for any subsequent inspection.

Eco Logic Limited undertakes to hold all information pertaining to the client, their property and tenant(s) in accordance with the Data Protection Act.

This agreement is governed by the laws of England and Wales.

Eco Logic Ltd is committed to protecting and respecting your privacy. This policy sets out the basis on which any personal data that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. The data controller is Eco Logic Ltd.

Information we may collect from you

We may collect and process the following data about you:

Your name, address of assessment and if different, where any correspondence should be sent along with your contact telephone numbers and email addresses. If you contact us, we may keep a record of that correspondence. We do not keep details of your visits to our website. All visits are made anonymously unless the contact us form is thereby completed by yourself.

IP Addresses & Cookies

We do not collect information about your computer from our website and we do not obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer.

Where we store your personal data

The data that we collect from you is stored securely on our database. All data is processed only by Eco Logic staff. The information provided will NEVER be passed to ANY third parties (except in the case of asbestos requests – see below). Staff maybe engaged in, among other things, the processing of your payment details and the provision of support services your financial information is not stored once processed and we will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Uses made of the Information

We use information held about you in the following ways.

To carry out our obligations arising in providing fire risk assessment surveys.

To notify you about changes to any of the booking arrangements and for annual renewal reminders (should you choose to withdraw from receiving renewal reminders, an email or telephone call from yourself requesting this will ensure your details are completely removed with immediate effect.

To contact you regarding payment of fees for our service or other matters as required.

Disclosure of your Information

We do not disclose your personal information to third parties unless we are required to do so by law or by government agencies to protect the rights, property, or Eco of our staff. In the case of any persons requesting an asbestos survey we work closely with West Four and Ace Environmental who will provide this service for you. This will be made clear to you at the time of requesting the service of an asbestos survey and your permission will be sought in advance for Eco Logic to pass your details over to West Four or Ace Environmental for this company to contact you directly to arrange their asbestos survey.

Your Rights

We do not process your personal data for marketing purposes only for in-house purposes and to remind you annually that under the requirements of the Regulatory Reform Fire Eco Order 2005 you must regularly review and update your fire Eco procedures/risk assessment.

You have the absolute right at any time to request your information is removed from our database or to opt out from receiving renewal reminders.

Access to Information

The GDPR gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

Changes to our Privacy Policy
